Accounting & Finance (the books)
Where: sidebar section Accounting & Finance · Permissions: accounting.read to see the books, accounting.write to record in them (owners have both; supervisors read). Credit notes follow sales.*, vendor credits purchasing.*; the lock date needs settings.manage.
Zudo Works keeps a double-entry ledger. You do not post entries by hand for everyday work: every money document posts its own balanced entry in the same step — issuing or voiding an invoice, a payment, a write-off, a bill and its payments, credit notes and refunds, vendor credits, expenses, transfers, depreciation, and (with perpetual inventory on) stock receipts, issues and shipments at stock value. Posted lines cannot be changed; a void or reversal posts the opposite entry.
The first time the books are opened, a default chart of accounts is created and everything you already recorded is posted once. Overview → Post missing entries does the same again at any time.
| Page | What you do there |
|---|---|
| Overview | Cash, receivables, payables, income vs expenses by month, top expenses, quick actions |
| Chart of accounts | Add accounts and sub-accounts, deactivate, see balances; system accounts cannot be deleted |
| Manual journals | Lines with debit or credit; "Balanced" appears when the totals agree; save as draft or post; reverse on a date |
| Banking | Import a statement (CSV ≤ 3 MB), match lines to the books, categorize, exclude, reconcile to the closing balance |
| Expenses | Expense account, paid through, vendor, tax; mark billable to a customer and bill them later with a markup |
| Credit notes / Vendor credits | Draft, open, apply to invoices / bills, refund, PDF and e-mail |
| Payments received / made | Every payment with its document and account |
| Recurring | Invoices, bills, expenses and journals on a schedule; run now, pause, resume |
| Budgets | Monthly amounts per account; compare in Budget vs actual |
| Fixed assets | Straight-line or declining balance; post depreciation through a date; dispose with gain or loss |
| Financial reports | 22 reports from the ledger (below), each with CSV export, print and Ask Zudo AI |
Reports: trial balance, balance sheet, profit and loss (compare with the previous period or year), cash flow, general ledger, account transactions, journal report, AR and AP ageing, customer and vendor balances, sales by customer / item, purchases by vendor / item, expenses by category, tax summary, budget vs actual, payments received / made, customer statement (PDF and e-mail), inventory valuation. Without dates a report covers this fiscal year to date.
Invoices and bills now also take a discount (percent or amount; tax is worked out on the discounted subtotal), a shipping charge, an adjustment (±, with its own label), a currency with an exchange rate, payment terms, and an income / expense account per line. On an issued invoice: Send, Send reminder, Send receipt, Write off (and undo), Apply credits and Make recurring.
Settings → Accounting holds the fiscal year start, the lock date (nothing posts on or before it), perpetual inventory, reminder days and the tax rates.
