Limit what a picker offers (lookup filters)

A picker (the Item of a stock movement, the Customer of a sales order, the lookup fields of your own forms …) can offer only the records that match conditions on their fields — built-in ones (type, status, code …) and your custom fields.

  1. Open the form (for example Stock movements → New receipt) and switch the top bar to Edit.
  2. Press Lookup filter beside the picker's label (or open the section's Edit dialog → Pickers on this form).
  3. Add condition: choose the field (say Allow Movements), the condition (is) and the value (Yes). Add more and choose whether all or any must hold. The grey line counts the records that match ("12 items match") as you edit.
  4. Save. Back in Normal mode the picker shows a small Filtered mark (point at it to read the condition) and offers only the matching records. Saving with any other record — from another screen, an import or the API — is refused: "Item BOLT-M8 is not allowed here: only items where Allow Movements is Yes."

On your own forms: form builder → select the lookup field → Lookup filter. Remove filter in the editor offers every active record again. Deleting a custom field removes the conditions that used it.

Pickers end with + New warehouse / item / customer / vendor / work centre when you may create one: a small dialog asks for the required fields, creates the record and selects it — unless the filter would not allow it, which it tells you. A transfer needs two warehouses: with only the one from the setup wizard the movement form says so and offers + New warehouse.

Zudo AI: "in the movements form the item lookup must show only items with Allow Movements = Yes" proposes this filter (and the field, if it is missing); approve it and it is set.
